The goal

We set out to create a feature that could:

  • Let advisers voice-record their client meetings safely and easily.

  • Generate an instant summary and full transcription of the conversation.

  • Automatically insert and update a client’s factfind if changes were discussed - a genuine industry first.

In short: less admin, more time with clients.

If we got this right, we’d:

  • Save advisers hours of manual data entry.

  • Increase productivity and confidence through smart automation.

  • Reduce operational costs across the business.

  • Potentially reach 20% of the UK’s adviser market.

The challenges

Building something this ambitious came with a few big questions:

  • Privacy concerns: “Is my client’s data secure? Can I even record this conversation?”

  • Accuracy: “What if the AI mishears something - can I review changes before it updates the fact find?”

  • Consent: “What if my client doesn’t want to be recorded?”

  • Performance: “My meetings can run over an hour - how long until I see results?”

We had to build trust as much as we had to build tech.

Competitive benchmarking

I did a deep dive into both AI-powered and traditional dictation tools - everything from Otter.ai to industry-specific recording apps.

Each had its pros and cons, but none offered what we were envisioning: an AI assistant that didn’t just transcribe but actually understood and acted on what was said, updating client data.

This became the clear differentiator for Indigo AI Dictation.

Mapping the Experience

Using draw.io, I mapped out the full adviser journey, from opening the app to generating insights post-meeting.

This included key points like:

  • Checking for client consent before recording.

  • Recording and saving conversations securely.

  • Viewing full transcripts with timestamps.

  • Skimming AI-generated summaries.

  • Approving suggested updates to the client’s factfind.

Having this end-to-end view made it easy for stakeholders to understand how everything connected and where we needed to focus our attention.

From Sketches to Prototypes

I started with quick sketches to get ideas flowing — exploring how recording states, AI processing, and post-meeting insights might look and feel.

Once the flow felt right, I jumped into Adobe XD, blending elements from the existing True Potential style guide with the Indigo AI design system I’d previously developed.

After a few early feedback rounds, the design started to take shape: simple, bold, and unmistakably “Indigo”.

Prototyping & Feedback

With the visuals locked, I built a fully interactive prototype, covering every possible use case, from recording errors to long-session summaries.

Stakeholders loved the concept. We made a few small refinements (mostly around how AI insights were displayed), and then it was ready for the real test: advisers themselves.

We ran usability sessions with both in-house and external financial advisers - the people who’d actually be using this every day.

We focused on:

  • How intuitive it felt to start and stop recordings.

  • Whether the AI summaries made sense.

  • How confident users felt about data accuracy and consent.

The feedback? Overwhelmingly positive. Advisers could instantly see how much admin time this feature would save and how it could make their client meetings more natural and productive.

Measuring Impact

The Indigo AI Dictation feature is currently in the development phase, with rollout planned soon.

Once live, we’ll measure success through:

  • Reduction in admin time per adviser.

  • Usage rate across adviser network.

  • Accuracy of AI-generated factfind updates.

  • Adviser satisfaction scores and adoption rates.

Early signs from testing suggest this feature could have a transformative impact on how advisers work day-to-day.

Indigo AI Dictation isn’t just about automating admin - it’s about empowering advisers to spend more time doing what they do best: connecting with clients.

By blending thoughtful design, practical AI, and user validation at every step, we’ve built something that genuinely changes the way financial advice is delivered.
